Annual Meeting Minutes

January 20, 2008

CALL TO ORDER:  The meeting was called to order by President Jerry Paes at approximately   There were over 30 members present.  Council members attending were:  Joel Berggren, Andre Boening, Deb Collins, Chris Hampl, Todd Lange, Tom Vanderpool and Marian Vermeline, along with Vicar Darwin.

SECRETARY’S REPORT:  Minutes from the January 28, 2007 Annual Meeting were read by Secretary Deb Collins.  Motion by Wayne Vermline, seconded by Betty Paes for approval.  All in favor, motion carried.

VICAR’S REPORT:  Copy included in Annual Report.  Vicar did touch upon the future of Edensburg, his call to serve full-time in ministry, and options such as a call committee and combining with another congregation with open pulpit (joint ministry).  He asked we pray about our congregation and its future with pastoral care.  God is where the answers are.  We are here to serve God, not ourselves.

FINANCIAL REPORT:  Copy included in Annual Report.  Gene Karstens gave thanks to Darwin and Sharon Vermeline, along with Pam Gustafson, for their assistance throughout the year.  The Council receives monthly account reports for each meeting.  A Lift Fund account has been set up.  A big thank you to Gene Karstens for his hard work and for taking time to attend some Council meetings and providing assistance.  Motion by Duane Fjellin, seconded by Kim Heiser for approval of financial report.  All in favor, motion carried.

AUDITOR’S REPORT:  Copy included in Annual Report.  As of January 16th, all books were in order.  Auditors John Berggren, Doug Hampl and Marge Holtorf did an excellent job.  Motion by Betty Paes, seconded by Amy Garton for approval.  All in favor, motion carried.

GLADYS MARTINSON GRANT MONEY:  The Church Council recommends that we use the grant money in the same manner as they did last year—providing $1,000 as a tithe to various agencies such as Saunders County Food Bank, Open Door Mission, ELCA World Hunger, City Mission and Orphan Grain Train.  The remainder of the grant money will be used in the General Fund, as needed.  Motion by Betty Paes, second by Katrina Lange, to accept Council’s distribution decision.  All in favor, motion carried.

WORSHIP AND MUSIC:  Motion by Music and Worship committee for the congregation of Edensburg Lutheran Church to consider the purchase of the new Evangelical Lutheran Worship Hymnal and associated resources for worship.  This motion, read by Amy Garton, is for Edensburg Lutheran Church to purchase 100 each Evangelical Lutheran Worship Hymnals from Augsburg Fortress publishing at a cost of $20.00 per Hymnal and also to purchase the following related resources:  1 each ELW Leader’s addition at a cost of $140.00; 1 each ELW Liturgy Accompaniment at a cost of $55.00; 1 each ELW Hymnal – Simplified Accompaniments at a cost of $45.00 and 1 each ELW Service Music & Hymn Accompaniments at a cost of $65.00.  Total cost for these items would be $2,305.00 plus shipping.  It is further moved that the funds to purchase these items be taken from the current Memorial Fund balance of approximately $4,922.45 (“$4,400.00”) leaving a balance of approximately $2,622.45 (“$2,100.00”) in this fund.  It is further moved that an opportunity be given for members and friends of the congregation to give a specific gift in the amount of $22.00 per Hymnal in memory of a friend or loved one and that a Bookplate dedication be printed and placed on the inside front cover denoting the memorial gift.  All receipts from these gifts are to be returned to the Memorial Fund.  Motion seconded by Bev Pacas.  Amendment by Andre Boening stating correct balance of Memorial Fund (underlined).  Discussion ensued.  Vote taken by show of hands.  Motion, with amendment, passed.

Motion by Music and Worship committee for the congregation of Edensburg Lutheran Church to consider the purchase of New Revised Standard Version (NRSV) Pew Bibles in response to the new five-year initiative of the ELCA “Book of Faith”.  The Book of Faith is an initiative of the Evangelical Lutheran Church in America.  The Book of Faith initiative invites the whole church to become more fluent in the first language of faith, the language of Scripture, in order that we might live into our calling as a people renewed, enlivened and empowered by the Word.  This motion, read by Amy Garton, is for Edensburg Evangelical Lutheran Church to purchase 100 each New Revised Standard Version (NRSV) Red Pew Bibles from Bibles by the Case at a cost of $6.50 per Bible.  Free shipping is provided with the purchase of these Bibles.  The total cost for the 100 Bibles would be $650.00.

It is further moved that the funds to purchase these items be taken from the current memorial fund balance of approximately $4,922.45 leaving a balance of approximately $4,272.45.  Assuming the approval of the ELW worship resources, the Memorial Fund balance would be approximately $2,622.45 before purchase of the Bibles and would have a remaining balance of approximately $1,972.45 after the purchase of the Bibles.  It is further moved that an opportunity be given for members and friends of the congregation to give a specific gift in the amount of $7.00 per Bible in memory of a friend or loved one and that a Bookplate dedication be printed and placed on the inside front cover denoting the memorial gift.  All receipts from these gifts are to be returned to the Memorial Fund.  Motion seconded by Bev Pacas.  Discussion ensued.  Vote taken by show of hands.  Motion passed.

BUDGET:  The proposed 2008 budget was reviewed.  Motion by Amy Garton, second by Tom Vanderpool.  All in favor, motion carried.

ELECTIONS:  Head Ushers:  Darwin Vermeline and Dennis Heiser.  Motion made by Amy Garton to accept ballot as presented, seconded by MaryAnn Berggren.  All in favor, motion carried.  2008-2011 Council Members:  Tom Holtorf, Gayle Martinson and Dorothy Peterson.  Nominating Committee:  Gerald Paes, Linda Semrad, Marian Vermeline and Tom Vanderpool.  Delegates to Synod:  Randy and Amy Garton.  Alternates:  Pam Gustafson and Bev Pacas.  BBQ Committee:  Gene & Cynthia Karstens with Tom Vanderpool are off; Todd and Katrina Lange with Randy Garton will serve another year along with new members Joel and Lisa Berggren.

LIFT STATUS:  After discussion, it was decided that the church’s roof will be a priority and that we should wait until we have the monies for the lift.

SNOW REMOVAL:  Volunteers are welcome and needed!  Joel Berggren and Wayne Vermeline will clean the parking areas when available and Tom Vanderpool volunteered to clean the sidewalks when available.  Thank you!
